Pacing CRM

Our own CRM and the automations around it. A form fill becomes a person, a deal and an alert for the team. No per-user fees.

Runs our pipeline

We wanted a CRM and automation set up the way an agency actually works, and we didn't want to pay again every time someone joins the team. So we host Twenty (the CRM) and n8n (the workflows) ourselves, on two small Hetzner servers in Germany. Ben, Cam and our AI agents all work from the same records.

What happens when someone gets in touch

  1. A lead arrives from a site form or a Meta instant form.
  2. n8n checks it, skips duplicates and logs it to a sheet.
  3. Twenty records it as a person and a deal.
  4. We're told by team chat, text and email.
  • Nothing gets lost. A form fill becomes a person (matched on email, so nobody is added twice), a deal at the New stage, and a form submission with the message, the page, the campaign and the Google click ID.
  • The right people hear fast. Every site form fill and every Meta lead texts Ben and Cam, posts in the team chat and emails the details.
  • Ad leads get chased. For leads from our Meta instant forms, the alert tells us to call within 10 minutes in office hours, or to log it and call at 09:00 out of hours. If one sits untouched, n8n re-alerts every 10 minutes during business hours.
  • Status changes do the admin. On those ad leads, marking one as booked or qualified makes Twenty tell n8n to move the deal to the matching stage, and after three missed calls a nurture email goes out through Notifuse. Site-form leads start as a "website lead" and get the instant alerts, then move once someone updates their status.
  • It's the team's task board too. Client work and ops jobs are tasks in Twenty, and actions from Fireflies meeting notes become tasks.

How it's put together

The CRM and the automation sit on separate servers on purpose. The board stays readable, and the workflows stay in n8n where they can be tested and fixed on their own. Twenty gives every object we add, like our own form submission record, its own API, so n8n can write a record without anyone copying a row.

TwentyPeople, companies, deals, tasks and our own custom objects. Gmail and Google Calendar sync onto each timeline.
n8nTakes in forms and ad leads, writes to the sheet and the CRM, sends the alerts.
NotifuseNurture emails when a lead goes quiet.
Client workspacesSeparate Twenty workspaces on the same install, each with its own API key.
Client sitesOn one client's Webflow site, n8n clears the Cloudflare cache after each publish.

The numbers

  • €17.49 a month (before VAT) for the CRM server, and no per-user fees however many people use it.
  • 1,200+ people in our main workspace, plus a network of 140+ freelancers we can filter by what they do.
  • 26 workflows live on n8n, out of 61 we've built (October 2026).

Client workspaces

A client can have a CRM workspace of their own on the same install without sitting in our pipeline. Each workspace has its own API key, so a client's contacts never sit next to ours. Sector7 was given its own, separate from our board.

The honest trade-off

Self-hosting means we look after it: updates, backups and who can log in. For us that's worth it. A hosted CRM charges per user and looks after the server for you, and for some teams that's the better deal. We'll tell you which fits yours.

Twenty's core is open source (AGPL) and n8n uses a fair-code licence, so you can read the code and keep your data on your own server.

Next step

Bring your numbers.

We'll tell you if the spend makes sense.

  1. A 15-minute callYour goals, your challenges, and whether we're the right fit.
  2. A 1-hour discovery callWe dig into your numbers. Worth a hundred emails.
  3. A concrete planAds, a custom build or both, as a one-off project or ongoing.
