Why we record every call
Nothing gets lost
Fireflies keeps a transcript and summary of each call, so what was agreed is written down while it's fresh.
Filed for us
Meeting Intel turns each meeting into a client log entry and Twenty tasks, without anyone typing it up.
Never filed twice
The bot checks the Fireflies ID first. It skips duplicate log entries and updates a task rather than copying it.
Real commitments only
Five checks keep status updates, maybes and other people's jobs off our task board.
Works with our tools
It joins and records Zoom, Meet and Teams calls, and our bots read the results through its API and MCP server.
Private by default
Raw transcripts stay in our own workspace. Our internal client workspaces get a short summary and the Fireflies ID.
Fireflies is how nothing said on a call gets lost. It joins our client and internal calls and keeps a transcript and summary of each. Then Meeting Intel, one of our Grok Bots, reads every new meeting and files the result, so the follow-up doesn't depend on someone's memory.
What happens to each meeting
- The record. The bot adds a dated entry to the client's activity log: decisions, blockers, access granted and next steps. The transcript itself is never pasted in.
- The tasks. Real commitments become tasks in Twenty, titled with the client code and with a link back to the meeting.
- The brief. If a call changes something lasting, like a contact or a project phase, the client's brief gets a small edit.
Filed once, never twice
Every meeting has a Fireflies ID, and the bot checks it before it writes anything. A call that's already in the log is skipped, and a task that already exists is updated rather than duplicated. A call recorded twice, by the bot and a browser plugin, ends up as one record.
Not every action item is a task
Fireflies' own action items are a starting point. They sometimes give work to the wrong person or list progress as if it were a promise, so the bot reads the transcript too and runs each candidate through five checks:
- It's a commitment, not a status update.
- It isn't conditional.
- The owner matches what was said on the call.
- It belongs to a client or to us.
- It isn't already on the board.
We added those checks after clearing out bot-made tasks that failed them. Anything the bot isn't sure about is listed for a person instead of filed.
Calls the recorder missed
If a call wasn't captured, we upload the recording to Fireflies by hand, and it goes through the same filing as the rest.
Kept private
Raw transcripts stay in our private workspace. Our internal client workspaces get a short summary and the Fireflies ID, not the recording or the word-for-word text.
Counts as of 10 October 2026: the archive holds recordings from before Pacing as well as since, and the bot has worked through the recent calls.
What we connect it to
A transcript isn't a decision. A task only gets done when someone owns it and checks it happened, and the bot can't tell a promise from a passing remark every time.

Services that use it
We don't sell it on its own. Each of these services uses it alongside the rest of your setup.
What Fireflies is
Fireflies is an AI meeting assistant. It joins calls on Zoom, Google Meet and Microsoft Teams, records and transcribes them, and writes a summary with action items. It has Free, Pro, Business and Enterprise plans, billed per seat. Its transcripts and summaries can be read through an API and its own MCP server, which is what lets our bots work with them.
