Is self-hosting on Hetzner cheaper than paying for the tool?
The monthly bill usually is. Our servers cost between €9.49 and €17.49 a month each before VAT, and the tools on them (Twenty, n8n and Notifuse) don't charge per user or per contact when you run them yourself. The catch is time. Someone has to apply updates, check the backups and fix it when it breaks. If nobody on your team wants that job, the tool's own cloud plan is often the better deal.
What we pay
Four servers run our CRM, workflows, email platform and headshot tool. Each costs between €9.49 and €17.49 a month before VAT, plus 20% for daily backups (our August 2026 invoice). That's about €65 a month all in, before VAT, backups and IPv4 included. There's no per-seat or per-contact charge on top.
What the time goes on
Updates, checking the backups ran, deciding who can log in, and shutting down servers nobody uses any more. It's not much in a normal month, but it has to be somebody's job.
When we'd pick the tool's own cloud plan
When nobody wants that job, when you need a support team to call, or when the tool's cloud plan is cheap at your size anyway. We run ours ourselves because we're happy to own the upkeep and we want the data on servers we chose.
